The 10–12-month renewal window can preserve a landlord's gas-check deadline. Here is how to plan it without confusing the check date and due date. This guide is written for practical decision-making and links to the sources used for verification.

You need not wait until the last day

A London landlord's annual gas safety check falls due during a tenant's holiday. They worry that booking early will permanently pull the renewal date forward. HSE explains that a check carried out within the two months before the due date can retain the existing deadline for the next annual check. This is the 10–12-month flexibility introduced in 2018; it does not remove the annual duty.

For example, if a check is due on 30 November, a qualifying check during the preceding two-month window can preserve the established 30 November cycle. Do not assume any earlier visit, boiler service or repair automatically uses this rule. The competent Gas Safe registered engineer's record and the previous due date matter.

Keep both dates and the record

HSE's landlord guide says the flexibility is optional. Plan from the previous check record and confirm the current deadline before arranging the appointment. Keep the earlier record, the new record and a clear note of the retained deadline so the next booking is made on time. An agent taking over management should receive both, not just a reminder in a calendar.

Give existing tenants a copy of the new safety-check record within 28 days of completion and new tenants the current record before they move in. If the engineer finds a defect, act on the safety advice; an early check is not a reason to defer remedial work. A gas safety check and a boiler service are related but distinct jobs, so confirm exactly what has been booked.

  • Check the previous record and its due date
  • Book within the applicable 10–12-month window if retaining the date
  • Keep the records and share the new one with tenants on time

Use the window to reduce access risk

The practical benefit is breathing room: an earlier appointment leaves time to coordinate with the tenant, rebook if access fails and address any findings before the deadline. It is not permission to let a check lapse. If you are unsure whether your proposed date qualifies, ask the engineer or managing agent to confirm before relying on it.

CertifyEPC can arrange a landlord gas safety visit in London. Send the postcode, appliance list and current check due date when enquiring so the appointment can be planned around the correct renewal window.
